# Member Management

> Invite teammates, assign Admin, Creator, or Observer roles, remove or reactivate members, and troubleshoot seat limits from Settings Members.

Manage everyone in your workspace from **Settings > Members**. This is where you invite new teammates, change roles, and remove or reactivate people.

## Who can do what

* **Admins** can invite teammates as any role, change roles, remove members, and reactivate them.
* **Creators** can invite teammates, but only as **Observer**.
* Anyone can cancel an invite they personally sent, even if they're not an Admin.

See [User Roles and Permissions](/support/support/account-administration/user-roles-and-permissions) for what each role can do.

## Inviting a member

1. Go to **Settings > Members**.
2. Enter the person's name and email, and choose a role. Creators will only see **Observer** available.
3. Send the invite. They'll receive an email to join the workspace.

<Note>
  Inviting someone into a paid role (Admin or Creator) uses a seat. If your account is out of seats, you'll need to free one up or add a seat under **Settings > [Billing](https://greatquestion.co/subscription)** before the invite can go through.
</Note>

## Member statuses

| Status          | What it means                                                                 |
| --------------- | ----------------------------------------------------------------------------- |
| **Joined** | The member has activated their account. |
| **Invited** | An invitation has been sent but not yet accepted. |
| **Pending** | An observer was added through a study invite and will join when they sign up. |
| **Deactivated** | The member has been removed from the workspace. |

## Changing a role

Only Admins can change roles. Click the pencil icon next to a member's name, pick a new role, and save. A role change can be blocked if your account is out of seats for that role, if the member owns active studies, or if they're the account's only Admin.

## Removing and reactivating members

Admins can remove most members, with a few exceptions: the account owner, other Admins (who must be demoted first), and members managed by your identity provider via SCIM can't be removed from this screen. Removing a member also takes them off any teams they belonged to, reassigns their draft studies to the Admin doing the removal, pauses their active studies, and frees up their seat starting next billing cycle.

Removed members move to the **Deactivated** tab, where they can be reactivated later, with a new role if needed.

## Troubleshooting

| Issue                                      | What's happening                                                                                       | How to fix                                                                                  |
| ------------------------------------------ | ------------------------------------------------------------------------------------------------------ | ------------------------------------------------------------------------------------------- |
| Invitation didn't arrive | The recipient's inbox may have filtered it, or the address may be wrong | Ask them to check spam, and confirm the email address is correct |
| Can't invite someone as Admin or Creator | Either you're a Creator (who can only invite Observers), or your account is out of seats for that role | Ask an Admin to send the invite, or free up/add a seat under Billing |
| Can't remove or demote a member | The member may be an Admin, the account owner, or managed by your identity provider | Admins must be demoted before removal; owner and SCIM-managed members can't be removed here |
| Someone joined automatically | This happens when **Workspace Access** is enabled for your company's email domain | Admins can adjust this under Governance settings |
| A member's role or details can't be edited | The member is provisioned through SCIM/your identity provider | Make the change in your identity provider instead |
