# Exporting Candidates

> Export your candidate data to a CSV for reporting, sharing, or backup.

You can export your candidate data to a CSV for reporting, sharing, or keeping a backup. Export from the full Candidates page, or from the participants of a specific study, both work the same way.

<Note>
  Exporting requires the Admin or Creator role, and your account must have candidate CSV export enabled. If the option is grayed out, contact your account admin.
</Note>

## Export from the Candidates page or a study

1. **Go to the Candidates page**, or open a study and go to its **Participants** tab.
2. **Apply filters** (optional) to narrow the list by attribute, tag, or segment.
3. **Select visible columns** (optional). Only the columns currently displayed are exported, for example, if the **Email** column is hidden, email data won't be included.
4. **Select rows.** The list loads results one page at a time, so how you select candidates changes what actually gets exported:
   | Selection method | What gets exported |
   | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- | --------------------------------------------------------------------------------------------- |
   | Check individual names | Only those specific people |
   | Check the header checkbox | Everyone on the **current page only**, anyone matching your filter on other pages is left out |
   | Click **"Select all # instead"** (appears after checking the header checkbox) | Every candidate matching your current filter, across all pages |
   | If you want your export to include everyone matching your filter, you need to click **"Select all # instead"** — checking the header checkbox alone only grabs the current page. | |
5. Click **Export CSV** in the top-right corner.
6. **Confirm** in the modal by clicking **Export CSV** again.
7. **Download your file.** You'll receive an email with a download link, click **Download CSV file** from the email. The export always runs in the background; there's no instant, in-browser download.

<Warning>
  Download links expire after **7 days**. If the download doesn't start automatically, disable your ad blocker or paste the link into a new browser tab.
</Warning>

<Note>
  If you don't have permission to view PII, exported email addresses and phone numbers are masked in your download the same way they are in the app. Admins with PII access get the full values.
</Note>

## What's included

The export reflects your currently visible columns, plus custom attributes. Tags and segment membership aren't exportable as columns, they're only usable to filter which candidates get included. Contact access is exported as team names. Participation history (interviews, completions) isn't part of this export; that data is available from a study's own Participants export instead.

## Troubleshooting

| Issue                                                   | What's happening                                                                | How to fix                                                              |
| ------------------------------------------------------- | ------------------------------------------------------------------------------- | ----------------------------------------------------------------------- |
| Export file didn't download | A browser popup or ad blocker is preventing the download | Disable popups or ad blockers temporarily and try again |
| Didn't receive the export email | The email may be delayed or filtered | Check your spam or junk folder; if it doesn't arrive, repeat the export |
| Download link expired | Links expire after 7 days | Re-export the data to generate a new link |
| Missing data in the exported file | Hidden columns aren't included | Re-export after making all the columns you need visible |
| A filtered export includes candidates you didn't expect | Individual rows were checked manually, which ignores the active filter | Use **select all # instead** rather than checking rows one by one |
| Email or phone number appears masked in the export | Your role doesn't have PII view access | Ask an Admin to export the data, or request PII access |
| Export option grayed out | You don't have export permission, or the feature isn't enabled for your account | Contact your account admin to request export access |
