# Interview Rooms

> Learn how to access, manage, and make the most of Interview Rooms in Great Question.

An **Interview Room** is where a recorded session lives alongside its transcript, highlights, and notes. This guide is for Creators and Admins running customer interviews, and for Observers who need access to recordings, transcripts, and notes. By the end you'll know how to access Interview Rooms, upload and manage recordings, use transcripts and highlights, and share interview content with teammates.

  Completed unmoderated-test sessions get the same kind of record, but it's labeled **Recordings** rather than **Interviews** in the Repository, since there's no scheduled interview involved.

## Accessing Interview Rooms

Interview Rooms are generated once a participant books a meeting. You can reach one by clicking the **Interview Room** link under the Interview Room column next to a participant's name in the participant table, by opening the **Repository** tab within the study and searching by participant name, or by going to the **global Repository → Interviews**.

  The Interview Room stays the same even if a participant reschedules, only the date and time update.

You can also create an Interview Room manually. Mark a participant as **Scheduled** in your study, or click **New → Upload files** from the study's Repository or the global Repository.

  If you use **Observer Rooms** to livestream a session, the Observer Room is the live view during the call, once the call ends, that same session becomes the permanent Interview Room record described here. ## Using an Interview Room

At the top of every Interview Room you'll find the **title** (default is *Interview with \[participant name]* or the uploaded file name, editable inline), the **interview details** (date, time, and location), the **participant details** (status, moderator, tags, and associated study), and the available **actions**, copy link, view count, share settings, Ask AI, and the **⋯** menu to download or delete. AI-moderated interviews show an "AI moderator" badge in place of a human moderator's avatar.

The screen is split into two panels. On the left, the **video player** plays the uploaded or integrated recording. On the right, you'll find the **transcript, highlights, and notes**. Both panels can be resized, and your adjustments persist across all Interview Rooms.

### Video player and summary

If you use the **Zoom integration**, recordings upload automatically once the session completes and the participant is marked **Completed**. With a custom link, you'll upload recordings manually. If live streaming is enabled, the room displays "Live-streamed interview" and the recording uploads automatically afterward.

You can change playback speed, jump around via transcript timestamps, resize the player, and use a mini-player while scrolling. A dedicated **Summary** field sits under the video for summarizing the interview, separate from your notes.

## Bulk importing recordings

**To upload video files:**

1. Navigate to the **Repository** in the left-hand sidebar.
2. Click **New**, then **Upload files** in the top-right corner.
3. Select **Browse files**.
4. Drag and drop recording files (.mp4, .m4v, .mov, or .mp3) or select them via browse.
5. Rename each video if desired.
6. Tie recordings to participants by searching from your panel.
7. Add tags for context.
8. Once uploaded, you can navigate away, transcripts generate automatically.

**To import Zoom files** (no downloading required):

1. Ensure your Zoom account is integrated.
2. Navigate to the **Repository** in the left-hand sidebar.
3. Click **New**, then **Upload files** in the top-right corner.
4. Select **Import from Zoom**.
5. Select the desired recording.
6. Tie recordings to participants by searching from your panel.
7. Add tags for context.
8. Once uploaded, you can navigate away, transcripts generate automatically.

## Transcript, Highlights, and Notes

The **transcript** is auto-generated and separated by speaker. You can toggle **Auto-scroll** on or off, highlight text to create Highlights or add Tags, edit speaker labels and the transcript text directly, and download it as a `.txt` file via the **⋯** menu.

**Highlights** appear inline in the transcript and in the Highlights view. Click a highlight to jump to that section of the video, and copy links, add tags, or edit as needed. Great Question can also suggest highlights automatically once the transcript is ready.

**Notes** use a rich text editor for team notes and images (PNG, JPG, JPEG). You can embed artifacts from the Repository, apply interview templates, and use formatting tools like headings, lists, links, and bold or italic text.

## Sharing an Interview Room

For a single interview, click **Share** in the top-right and choose **Public** or **Restricted**. Admins can set account-wide defaults under **Settings → Permissions → Default Interview sharing**, this also applies to the live Observer Room view for new sessions.

  Use tags consistently for easy filtering later, add summaries to capture the big picture without cluttering your notes, and embed related artifacts, highlights, insights, reels, to connect your findings.

## Troubleshooting

| Issue                               | What's happening                                                                                                                              | How to fix it                                                                                                                                                                                 |

| Interview Room not appearing        | The participant hasn't been marked Scheduled, or the meeting link hasn't generated.                                                           | Mark the participant as **Scheduled**, then refresh. | Recording not uploading             | The session hasn't completed or your Zoom integration isn't connected.                                                                        | Confirm Zoom is integrated and the participant is **Completed**. For a custom link, upload manually via **Repository → New → Upload files**.                                                  |
| Zoom recording missing or partial   | The session was stopped and restarted, or recorded to a different Zoom account.                                                               | Verify the Zoom account matches your integrated one. For restarted sessions, only the first file uploads automatically — delete and re-upload the second manually.                            |
| Transcript not generating           | The video is still processing or the upload didn't complete.                                                                                  | Wait a few minutes. If it doesn't appear after 30 minutes, re-upload the file or contact Support.                                                                                             |
| Transcript inaccurate or incomplete | Automatic transcription varies with audio clarity and speaker overlap.                                                                        | Re-upload a cleaner recording, or edit the transcript inline.                                                                                                                                 |

| Sharing link not working            | The Interview Room visibility is Restricted.                                                                                                  | Open the room, click **Share → Public**, and copy the link. Admins can change the default under **Settings → Permissions → Default Interview sharing**.                                       |
| Can't delete a recording            | You lack delete permission, the session is still processing, or the session is tied to a completed interview rather than a standalone upload. | Only Admins and Creators can delete — check your role under **Settings → Roles**. Sessions from an actual booked interview are deleted via the recording itself, not as a standalone session. |
