# Templates & Guides

> Reuse interview scripts, screener and survey questions, and email copy across studies, and share internal how-to docs through a team Guides library.

Templates & Guides let your team reuse proven interview scripts, survey questions, and email copy instead of rebuilding them for every study — plus a shared space for internal how-to guides.

## What Templates & Guides Are (and Aren't)

Templates & Guides cover three kinds of reusable **content** — interview guides, survey and screener questions, and email copy — plus **Guides**, an internal library for your team's own documentation.

> **Note:** There's no dedicated study-setup template. Templates & Guides don't pre-fill a whole study's plan, goals, participant limits, or incentive — only the interview guide, survey/screener questions, and email content are templated. If you want to reuse an entire study's setup, [duplicate an existing study](#reusing-a-full-study-setup-duplicating-a-study) instead.

## Why It Matters

**Consistency across your team.** Everyone starts from the same vetted questions and scripts instead of writing new ones each time.

**Saves setup time.** Reuse tested interview guides, screener questions, and email copy instead of rebuilding them study by study.

**Lowers the bar to run good research.** Anyone on your team can run structured research using questions and scripts your team has already validated.

**Keeps your process documented.** Guides give your team a shared place to write down how you work, so that knowledge doesn't live in one person's head.

## Common Use Cases

| Use Case | What to Use |
| -------------------------------------------------------------------- | -------------------------------------------------------- |
| Standardize interview scripts across a research team | Interview templates |
| Reuse proven screener or survey questions | Survey templates |
| Keep participant communication consistent | Email templates |
| Onboard new team members to your research process | Guides |

## Interview Templates

**Create an interview template.**

1. Go to **Resources → Templates**.
2. Click **Templates** under **Interview Guide → Create Interview Guide Template** (or click
   **Create a Template → Interview** in the top right).
3. Add a **title** and describe the template's purpose.
4. Write your interview questions or topics.
5. (Optional) Check **Use as default for every customer interview** to set it as the default.
6. Click **Save changes**.

**Edit or delete.** Go to **Resources → Templates → Interview Guide** and use the edit or
delete icons.

<Warning>
  Deleting a template removes it from anywhere it's currently applied and can't be undone. Confirm before deleting.
</Warning>

**Duplicate.** From **Resources → Templates → Interview Guide**, click **⋯ → Duplicate**
(available in the kanban view only), then rename, modify, and click **Save changes**.

**Apply to a study.** In a published study, under **Execution**, click **Interview Guide**,
then select **Templates** to choose the template you want.

> **Note:** Applying a template copies its content into the study's interview guide at that moment — it's a one-time copy, not a live link. If you edit the study's guide afterward, it's no longer tied to the template, so later edits to the template won't carry over automatically.

## Email Templates

**Create an email template.**

1. Go to **Resources → Templates → Email**.
2. Click **Create Email Template** (or **Create a Template → Email**).
3. Add a **title**, select an **Email Use Case**, and write your **subject** and **body**.
4. Include **attributes** and **CTA** placeholders where needed.
5. (Optional) Check **Set as default template on account**.
6. Click **Save changes**.

**Edit, delete, or duplicate.** From the **Email Templates** page, use the pencil icon to
edit, the trash icon to delete (then **Confirm & Delete**), or the duplicate icon to copy.

## Survey Templates

**Create a survey template.**

1. Go to **Resources → Templates → Survey**.
2. Click **Create Survey Template** (or **Create a Template → Survey**).
3. Add a **title** and your questions. Changes save automatically.

**Edit or delete.** Go to **Resources → Templates → Survey** and use the edit or delete icons.

**Use a survey template in a new study.** Click **New Study** from the sidebar or **Studies
→ New Study**, then under **Library** select the template you want.

**Apply a template to an existing study.**

1. Open a study and click **Screener** or **Survey** in the left menu.
2. Click the **Library** icon (top right).
3. Choose the **Templates** tab (default).
4. Search and select a template, then click **Use this Template → Confirm**.

<Warning>
  Applying a template to an existing study **replaces every question already there** — it doesn't merge with what you have. Great Question will confirm first ("All existing questions will be removed and replaced with the template"), so make sure you're ready before confirming.
</Warning>

## Guides

**Create a guide.**

1. Go to **Resources → Templates → Guides**.
2. Click **Create new guide** in the top-right corner.
3. Add a **title** and any information that's useful for the guide — you can add images,
   links, and embed content.
4. When you're done, click **Publish** in the top-right corner.

Guides are an internal reference library for your team — closer to a lightweight wiki than a file-sharing tool. They're for documenting how your team runs research, not for sharing or collaborating on external documents; use whatever document tool your team already relies on for that. Every account starts with a handful of guides from Great Question already published, covering research basics — feel free to edit or remove them.

## Reusing a Full Study Setup (Duplicating a Study)

If you need to reuse an entire study's setup — not just its interview guide or survey questions — duplicate the study itself rather than looking for a study-level template.

1. From your studies list, open the **⋯** menu on the study you want to copy.
2. Click **Duplicate**.
3. In the **Duplicate study** dialog, set a title (it defaults to "Copy of \[original title]") and choose an owner and team.
4. Click **Duplicate**.

The new study is created as a draft, copying the original's setup, automation, and notification settings — account users, participants, and research results are never copied over. Give the new study a quick review before publishing; it's worth double-checking settings like incentive currency to make sure they carried over the way you expect.

## Sharing Templates and Guides with Your Team

All templates and guides are shared across your whole Great Question account — there's currently no way to scope them to a sub-team. Create organization-specific templates under **Resources → Templates** and guides under **Resources → Guides**. Encourage your team to start with company templates to keep research consistent.

## Best Practices

**Reach for a duplicate, not a template, when reusing a full study.** Templates only cover interview guides, survey/screener questions, and email content — duplicating an existing study is the way to reuse everything else.

**Set a default interview template if your team always starts the same way.** It saves a step on every new study and keeps scripts consistent even as your team grows.

**Duplicate before applying a template if you're not sure.** Since applying a survey or screener template replaces every existing question, duplicate the study first if you want to keep the original questions around for reference.

**Remember templates don't stay linked.** Updating a template later won't change studies that already applied it — reapply the template to a study if you want it to pick up the latest version.

## Troubleshooting

<table>
  <thead>
    <tr><th>Issue</th><th>What's Happening</th><th>How to Fix</th></tr>
  </thead>

  <tbody>
    <tr><td>Applying a survey or screener template removed my existing questions</td><td>Applying a template replaces every existing question and skip-logic rule — it doesn't merge with what was already there.</td><td>There's no undo. Next time, duplicate the study first if you want to preserve the original questions before applying a template.</td></tr>
    <tr><td>Editing a template didn't update studies that already used it</td><td>Applying a template copies its content once — studies aren't kept in sync with the template afterward.</td><td>Edit the study's guide or questions directly, or reapply the template to that study to pull in the latest version.</td></tr>
    <tr><td>Can't create, edit, or delete a template</td><td>Observer-role accounts can't manage templates.</td><td>Ask an account admin to change your role, or have them make the change for you.</td></tr>
    <tr><td>Looking for a way to pre-fill a whole study's plan or goals</td><td>There's no dedicated study-setup template — templates cover interview guides, survey/screener questions, and email content only.</td><td>Duplicate an existing study instead to reuse its full setup.</td></tr>
    <tr><td>Duplicating a study fails or doesn't complete</td><td>The duplication process didn't finish, usually a transient issue.</td><td>Try again. If it keeps failing, contact support with the study you're trying to duplicate.</td></tr>
    <tr><td>A guide doesn't do what I expected, like sharing an external file</td><td>Guides are an internal wiki-style library, not a file-sharing or document-collaboration tool.</td><td>Use your team's usual document-sharing tool for external files and collaboration; use Guides for documenting your own research process and instructions.</td></tr>
