Learn how permissions work in Great Question and how Admins can control access, authentication, and feature visibility across the workspace.
What are Permissions?
Permissions in Great Question define who can access, manage, and view different parts of your workspace. They’re part of the platform’s role-based access control — designed to help teams collaborate securely while maintaining control over sensitive data and workspace actions.
Why permissions matter
- Maintain data privacy by controlling access to personally identifiable information (PII).
- Ensure secure collaboration — only the right people can create, edit, or export data.
- Support flexible access across teams with different levels of responsibility (Admin, Creator, Observer).
- Simplify onboarding by allowing domain-based observer access where applicable.
Workspace Access
- Allows users with an approved email domain to join the workspace as Observers without a direct invitation.

Visibility of Data
Control how user and participant information is displayed across your workspace.
Setting | Description | Access Options |
Candidate PII | Controls which roles can view candidates’ personally identifiable information. | Admin, Admin & Creator or All roles |
Calendar event visibility | Determines how event details and participant info are shown to teammates. | Default - Follow calendar provider's settings, Always public, or Always private |
Default Sharing Settings
Define default visibility for new repository artifacts. Admins and Creators can override these defaults per artifact.

Interviews | Public — Anyone with the link can view or Restricted — No public access |
Highlights | Public — Anyone with the link can view or Restricted — No public access |
Reels | Public — Anyone with the link can view or Restricted — No public access |
Insights | Public — Anyone with the link can view or Restricted — No public access |
Custom Attributes
- Controls which roles can create or edit custom attribute definitions.
- Options: Admins only or Admins & Creators.
Authentication Methods
Manage how workspace members can sign in.
Method | Description |
Email & Password | Default sign-in option for most users. |
Google SSO | Allows members to log in using a connected Google account. |
SAML / OKTA | Enables enterprise-grade authentication for added security. |
SAML Configuration | Displays current SAML setup (e.g., configured identity provider). |
Role Configuration
Toggle on controls for specific role-based workflow settings:
- Require Admin approval before funding studies or Require Admin approval before activating studies.

Tag Management
- Controls which roles can add, edit, or delete tags.
- Options: Admins only or Admins & Creators.
Feature Access
Admins can define which roles can create, manage, and export data across key functional areas.

How to Manage Permissions
- Go to Settings → Permissions
From your workspace menu, click Settings, then choose Permissions. - Select a category
Choose the permission category you want to adjust (e.g., Feature Access, Tag Management).
Each category includes a tooltip explaining what it controls. - Set role access
Use the dropdown menus to define which roles (Admin, Creator, or Observer) can access specific features. - Review and confirm
Changes are saved automatically, so there’s no need to click Save.
